Submitting Absence/Time Off Requests

Submitting an absence request for any time off should be done prior to the time off whenever possible. You can submit a request many months in advance, so feel free to do so at any time! You can easily submit requests on the web or via the Workday app (see the "Related Articles" for more information on the app).

Submitting a request AFTER the date of your absence:

  • Employees can only submit time off requests up to 1 pay period after the time was taken (about 2 weeks).
  • Managers can submit time off for their team members up to 2 pay periods after the time was taken. If you need to update or correct an absence more than 2 pay periods after it was taken (about 4 weeks later), please reach out to payroll@sju.edu.

 

Submitting a regular request:

  1. To request an absence, click on the quick action for "Request Absence" at the top of your home page, or go to the Absence app in your menu under "Personal", then click "Request Absence" inside the app:

  2. Your absence calendar will pop up on your screen. Find the day(s) you would like to take off and click on them (either individually or by clicking and dragging your mouse); then click "Continue":
    • Note: At the top, it will clarify who the request is being made for. Managers, please review the "Related Articles" for instructions about how to review and submit absences for your team members.
    • You will see blue dots under any University holidays (such as January 1-2, 2026, shown below). You can also click "Review Balances" at the bottom of the screen to review all of your absence balances/hours.

  3. In the next pop-up window, you will see the dates at the top and you will choose the absence type - you can either click on the search bar or type in the absence type you want (sick, vacation, jury duty, etc.).
    • Once you choose the absence type, you will see instructional text and more options. Make sure to review the number of hours being requested before clicking "Submit Request".
    • ​​​​​​If you want to adjust the number of hours requested for any or all of the days, scroll down and see the next step - do NOT click "Submit Request" yet.

  4. ​​​​​​If you want to adjust the number of hours requested for any or all of the days, scroll down. You can easily update the "Hours (Daily)", which will update this for ALL days requested, or click on "Edit Individual Days":

  5. This will pop out more information on the right side, as well as list out ALL days requested on the left side. At the very top of the pop-up, you can add or delete days:

  6. On the right side, the first requested day will be shown, but you can click on ANY day or adjust the date in the "Date" field to update the number of hours on that particular date. Update the number of hours for that date on the right side.
    • Note: You can also see your current balance on this screen, as well as your balance of hours after submitting the request:

  7. When you have confirmed all the dates and hours are correct, click the blue "Submit Request" button. You will see a window confirming your submission. You are finished!

 

To review the full absence calendar, click on "Manage Absence" in the Absence app. Directly on the calendar AND via the "Requests" tab on the right side, you can see which absences have been approved and which are still pending. Gray absences have been submitted, but not yet approved. Green absences have been fully approved. 

  • Please remember that the "Requests" list is in chronological order, beginning with the past 6 months, and looking out to the next 12 months. You may need to scroll to review a particular date.

Correcting/Cancelling an Absence

To correct or cancel an absence, go to the absence app in your app menu (under the "Personal" list) and click on "Absence".

  1. In the left menu, click on "Manage Absence"

  2. This will take you to your Absence Calendar. From here, you can see if the request has been approved yet or not (approved requests will show up in green, submitted requests that are still awaiting approval will show up in gray).
  3. If the request has NOT been approved yet (gray), simply click on the day(s) and click "Cancel":

  4. If the request has already been approved by your manager, you will have the option to cancel or edit. Click on the green time off you want to cancel/correct and it will bring you to that entry. You can click "Cancel" or you can edit the absence request and resubmit it (such as changing the type of absence or the number of hours requested):

  5. Cancelled requests will send the correction to your manager for approval/notification that your time off has been updated. For edited entries, you will see the correction show up in gray again, and once it is approved by your manager, it will be fully updated on your absence calendar.
