Creating "Custom Gems" as Virtual Instructional Assistants

Utilizing the "Gems" feature in Google Gemini to build reusable, specialized AI personas that streamline repetitive academic tasks.

Why Create Custom Gems?

Instead of copy-pasting long, complex background instructions every time you start a new chat session with Gemini, the Gems feature allows you to build a permanent, custom-tailored AI assistant. Once programmed with your specific preferences, institutional standards, and formatting guidelines, a Gem retains that persona indefinitely. This saves hours of administrative time when designing ongoing course elements like case studies, weekly announcements, or syllabus audits.

Implementation 

Step 1: Access the Gem Creator

1. Open Google Gemini using your institutional account.

2. Click the Gear icon to open the settings menu on the left-hand sidebar menu. Click Gems.

3. Click the New Gem button to launch the setup workspace.

Step 2: Program Your Instructional Assistant

Name your Gem based on its specific function and provide clear behavioral guardrails in the "Instructions" panel.

• Action: Give your Gem a title (e.g., Course Case Study Generator) and paste a highly specific set of operational rules into the box.

• Sample Instruction Blueprint: > "You are an expert instructional design assistant specialized in undergraduate pedagogy. Your sole task is to help me write realistic, discipline-specific case studies based on real-world events. Always format your output with a 'Scenario Summary,' 'Key Stakeholders,' and '3 Socratic Discussion Questions.' Keep the tone academic, objective, and engaging. Never generate solutions to the case studies unless explicitly asked."

 

Step 3: Test and Launch Your Gem

1. Review the generated profile on the right-hand preview panel.

2. Click Create or Save to finalize the tool.

3. The new Gem will now appear permanently in your Gemini sidebar. To use it, simply click on its name, paste raw academic topics, and watch it instantly output beautifully structured materials according to your pre-set rules.

Best Practices

• Keep Personas Narrow: Design highly specific Gems (e.g., one named Syllabus Accessibility Auditor and another named Discussion Board Prompt Draftsman) rather than one generic assistant.

• Refine Over Time: If a Gem consistently formats something incorrectly, click the "Edit" pencil icon next to the Gem's name and append a strict negative constraint to its instructions (e.g., "Do not use bullet points in the scenario summary section").
