What best practices should I follow when using Zoom AI Companion?

The following best practices should be followed when using AI Companion in your meetings:

  • Do not automatically enable Zoom AI Companion at the start of the meeting. It will transcribe all conversations even those not associated with the meeting content.

  • Enable AI Meeting Summary, if appropriate, when the formal meeting begins.

  • Participants will be notified when the AI Companion has been enabled for the meeting. Be prepared to disable AI Companion if requested.

  • Do not record meetings where any sensitive Personal Identifiable Information (PII) or Protected Health Information (PHI) is shared or discussed. This includes social security numbers (SSNs), student education records, dates of birth, medical records, or personal contact information. 

  • OIT recommends avoiding the use of the Zoom AI Companion for hybrid or HyFlex meetings, as the summary may not accurately reflect the conversation due to challenges in identifying who is speaking.

  • Review and edit the summary notes before sharing. For example, remove any personal conversation captured by AI Companion in the summary.

  • Download any summary notes from the cloud before the expiration date if you need to keep them beyond the data retention period.
