Entering, Reviewing, & Submitting Time in Workday

Overview - Reviewing & Submitting Time

All non-exempt employees (excluding union and student employees) will use the Time Tracking app in Workday to log their time. Similar to the timesheets in Self-Service Banner, you are able to enter your time at the end of each week or pay period and submit it for approval.

Employees can enter time:

  • By copying their time from the previous week
  • By loading in their schedule (not available to all employees)
  • On a shift-by-shift basis

Workday tip: You can save "Enter My Time" as a shortcut or Favorite to quickly access this window!

 

To review and submit your timesheet, go to "Enter Time" and view your time calendar. Click "Review", and then "Submit"

  1. From the Workday home page, click on the "Time" or "Time Tracking" application:

  2. Under "Enter Time" click any of the appropriate options. You can enter time directly for "This Week", "Last Week", or you can "Select Week". When using "Select Week", you will be asked to identify a specific date that you would like to enter or review time for.
  3. If time has already been entered for this week, you will see it on your calendar. It will note if the time has been submitted or not.
    • You will also see a "Summary" table that details all of your hours on the timesheet for this pay period.
    • Click "Review" in the bottom-right corner to review all time for this pay period.
  4. On the "Submit Time" window, review your summary of hours and click "Submit"

Auto-filling Time from the Previous Week or a Schedule

If you have a standard schedule, you are able to easily load in hours from the previous week or from a pre-built schedule in Workday. 

  1. From the Workday home page, click on the "Time" or "Time Tracking" application:

  2. Under "Enter Time", click any of the appropriate options. You can enter time directly for "This Week", "Last Week", or you can "Select Week". When using "Select Week", you will be asked to identify a specific date that you would like to enter time for.

  3. On the weekly calendar, click the "Actions" button in the top-right corner of the calendar, and click either "Auto-fill from prior week" or "Auto-fill from Schedule"

  4. You will be taken to the auto-fill screen, where you can review the time that will be loaded onto your calendar. You can un-select any days of the week to account for holidays or time off. (Half-days may need to be re-entered as a single shift)

  5. Click "OK"

 

Entering a Single Shift

  1. From the Workday home page, click on the "Time" or "Time Tracking" application:

  2. Under "Enter Time", click any of the appropriate options. You can enter time directly for "This Week", "Last Week", or you can "Select Week". When using "Select Week", you will be asked to identify a specific date that you would like to enter time for.

  3. On the weekly calendar, click on the day for which you need to enter time:

  4. The "Enter Time" pop-up will display, and you can fill in all appropriate fields
    • Make sure to note your "In" and "Out" time 
    • "Out Reasons" are "Out" (meaning you are done for the day/shift) or "Meal" (taking a break for lunch or another meal break)
  5. Click "OK"
  6. Now you will see your recorded time on the calendar. It will be marked as "Not Submitted" until you review and submit your time for the pay period.
