Resigning Your Position in Workday

Overview

If you are leaving your position at Saint Joseph's University, there are many critical items and pieces of information to gather and complete prior to your last day of work. You are strongly encouraged to discuss your resignation and last day of work with your manager prior to submitting this information in Workday. If you have any concerns about speaking with your manager or would like someone from Human Resources to support you in that conversation, please reach out to us at humanresources@sju.edu or 610-660-1290.

Once you have spoken to your manager, you or your manager must submit your official letter of resignation in Workday. Your letter should be addressed to your manager, and must include:

  • Your last day/date of work (e.g. "Friday, August 18, 2023")
  • Your reason for resigning, and
  • If you have multiple jobs at the University, if you are resigning from all of them (please see notes below regarding multiple positions).

Once you submit this letter in Workday and your manager acknowledges it in Workday, the Office of Human Resources will be alerted to your resignation and the full separation process will be kicked off. Within 1-2 business days, you will begin receiving critical information that you must review, including:

  • Checklist for Exiting Employees - important tasks to complete prior to your last day, such as turning in your laptop or other technology and submitting any time worked/time off that was already taken.
  • Benefits exit document - this PDF contains critical information about your benefits from Saint Joseph's, including the date when your benefits will end, contact information for our benefits vendors, and COBRA information for those eligible.
  • PA Unemployment compensation information
  • Exiting employee questionnaire

Managers can also submit these letters of resignation for their employees. To do so, please follow the directions in the article linked on the sidebar to the right.

Employees with Multiple Positions

If you have multiple positions at SJU and you submit your own resignation letter in Workday, the system will assume you are resigning from the full University, including all of your positions. If this is not the case, please make sure to be clear in your resignation letter attachment and have your supervisor of the position you are leaving upload your letter of resignation. This way, the Office of Human Resources is automatically alerted that you only plan to leave one of your positions, not all, and can verify that via your letter.

For instance, if you are a full-time staff employee and an adjunct faculty instructor, be sure to indicate if you are resigning from just your staff employment but plan to keep your adjunct position, and have your supervisor upload your letter of resignation. This way, you will remain active as an adjunct instructor.

Undergraduate Student Employees

All undergraduate student employees will still be governed by the annual extension and termination process that takes place at the end of the academic year. Should a student employee resign or quit prior to that time, they or their manager can certainly submit the notice in Workday and end the position as described below. For most positions and students, however, the process will remain the same and communication will be sent out to all managers of student employees beginning each April.

Steps in Workday

  1. In Workday, go to your profile and click the "Actions" button below your name and title in the gray sidebar.
  2. In this menu, hover over "Job Change" and click "Resign":

  3. In this next window, add your primary reason for leaving the University (such as other employment, commute time, etc), and your last day of work - this should be the same as the date listed in your letter of resignation. You can also add a "Secondary Reason" for leaving the University if you choose. At the bottom of this page, you must attach your letter of resignation:

  4. Next, attach your letter of resignation and in the Document Category field, choose "Resignation". Then click "Submit":

  5. This will send your letter to your supervisor for review and approval/acknowledgment. Once they approve this task in Workday, Human Resources will be notified and will begin to process your separation from Saint Joseph's.
  6. Within 1-2 business days you will receive the following tasks in your Workday inbox. Please complete/submit ALL tasks prior to your final day of work:
