Job Changes for Current SJU Employees

Overview

Previously, in PeopleAdmin, you may have submitted a "Job Change Form" for a number of reasons, allowing you to change the job/position of an internal person without posting a position on the SJU careers site.

While you still do not always need to post positions to the external SJU careers site, it is critical that you create a job requisition for most job changes, including but not limited to: promotions, reoganizations, and interim appointments (see full list below).

This allowed the human resources and budget teams to fully review the job, job description, and budget as well as generate a formal offer letter to the employee, recognizing their new position.

In Workday, you will essentially follow the same process as you would to post a position for a competitive search. Once the position, budget, and change have been fully approved, the human resources team will then manage the internal job change.

Job Change Reasons

Job change reasons that require a job requisition:

  • Promotion
  • Change time type: part-time to full-time
  • Change time type: full-time to part-time
  • Interim appointments
  • Lateral moves
  • Transfers - move to another position
  • Demotion

Change that does NOT require a job requisition:

  • Location errors
    • Formal office/location changes should be submitted here and will be updated in Workday automatically
    • If you find an error in your work location in Workday that is NOT due to a recent office move, please log a Workday ticket here to have this updated

Creating a Job Requisition for Non-Competitive Fill

When creating a job requisition for one of the above reasons, please follow the normal instructions for creating a job requisition (linked in "Related Articles"). It is likely that you will need to create a new position for many of the above reasons.

Critical differences:

  • On the "Recruiting Information" page:
    • Under "Reason", choose "Job Change" and "non-competitive fill"

    • For "Recruiting Instruction", choose "Posting Not Required":

  • On the "Job" page, under "Justification", in addition to the required information, specify the internal person who will be filling the role and repeat that it is a non-competitive posting. This will assist the human resources team in processing the person's new position at the final stages.
