Overview: Workday Recruiting Roles

Overview

There are a number of different roles in Workday to manage the recruiting process. The most important is the hiring manager - this person has access to all pieces of a job requisition and should be managing the full recruiting process.

Other roles are available to assist the hiring manager with the process if needed. This will be especially important for faculty hiring, as all full-time faculty positions report to the dean of the college or school in Workday, but many others are heavily involved in the hiring and job requisition process.

Hiring Manager

The hiring manager is the person who oversees the position (both day to day and as listed in Workday).

  • Please note that faculty all report to the Dean of their respective college. Department chairs will be automatically assigned the role of Recruiting Coordinator.

Primary Recruiter

This role is assigned when the job requisition is created and can be assigned to anyone who should be managing the overall interview process, including confirming the interview schedule, moving candidates, and submitting the offer request.

Please be mindful that Primary Recruiters can view compensation for proposed positions, including in the offer process. Only those people who should have access to compensation information should be assigned as a primary recruiter.

Search Committee

Can view candidates, including reviewing resumes & other candidate documents and information. Search committee members do not have access to the job requisition or offer process, and they are NOT automatically assigned interviews. Interviews are assigned during the recruiting process separately.

Recruiting Coordinator

Designed for people who need to post jobs to supervisory organizations that are not their own (such as department chairs who are posting/managing full-time faculty hiring). Recruiting coordinators can post positions but do not manage the full process and cannot submit offer requests.

University Leadership Council Members are also allowed to designate a recruiting coordinator to post and manage job requisitions on their behalf. To do so, please submit a ticket here.
