Human Resources & Pay Information

How can I get in touch with Human Resources or Payroll during this program?

The Office of Human Resources will be maintaining a regular summer schedule during this program and will be available virtually for all employees. There are multiple ways to get in touch with our team, including through the below ticket services and emails. You can call the main line at 610-660-1290 and leave a voicemail, which will be responded to via phone or email. Additionally, Virtual Water Cooler hours will continue to be held at 2p.m. each Wednesday in July on Zoom.

Will my Philadelphia Wage Tax be impacted by this program? 

Since this is a temporary program, payroll taxes will not change during this time. 

How will mail be distributed to departments/individuals? 

Mail will not be distributed to departments located in buildings that will be “closed.” Departments located in closed buildings should assign responsibility to a member of their team to pick up mail from Mail Services as needed from Monday, June 30 - Friday, August 1, 2025. 

Who should contact vendors that make regular deliveries (i.e., water, supplies, etc.)? 

The SJU Procurement Office will contact the water delivery vendor to update them on open/closed buildings.

Otherwise, each department should assign this duty to the person who currently orders supplies, etc.

Will this impact our summer hours schedule? 

This will not impact the summer hours schedule.

What support will be available for employees who may face challenges while working remotely? 

Employees are encouraged to speak directly with their supervisor or HR for assistance. Since the University is not closed during this time, regular practice can be followed in a virtual modality. In addition, hoteling space will be available for those whose building is closed but prefer to work on campus. 

Will my parking fee be reduced? 

No, the charge for a University parking permit is for the complete 24-25 academic year. New parking passes for the 25-26 academic year will be available in mid-August, 2025.

Building Closures & Expectations

What are the exact dates that buildings will be closed?

Select buildings will be closed from Monday, June 30 through and including Friday, August 1, 2025. The last Friday for participants of the summer hours schedule is Friday, August 1, therefore, Monday, Aug. 4 will be the first day back on campus for all divisions and departments. Will Public Safety still have a presence on campus? 

Yes, Public Safety will maintain its standard presence on campus during this period at all locations.

What needs to be cleared out of offices and departments and when?

Individuals and departments should remove any food or perishables from offices, kitchens and other spaces before leaving their offices from Monday, June 30 - Friday, August 1, 2025, similar to what you would do before leaving for winter break. Trash will not be emptied and other cleaning services will not be provided while buildings are closed. Appliances do not need to be unplugged, but the contents should be removed to avoid spoiling perishable items. 

What if I forgot something and need to retrieve it from my office?

Individuals who may need brief access to their buildings/offices from Monday, June 30 - Friday, August 1, 2025 should contact the Office of Public Safety and Security at 610-660-1111. Swipe access will be disabled for all closed buildings, therefore access will be provided only on an in-and-out basis to collect an item/file, and is not a means to stay in the office to work. Buildings that are closed will be uncomfortably warm as we conserve energy consumption. 

How do individual departments know whether their building will be closed and if they are approved to work remotely from Monday, June 30 - Friday, August 1, 2025? 

Each divisional or department leader will speak with their teams about the plan for their ability to work remotely in July. All employees are encouraged to have an open discussion with their managers about the plan, expectations and schedules. 

How do I access "hoteling space" if I would like to work on campus?

There will be common spaces on campus for employees whose offices/buildings are closed for July. These common spaces (Post Learning Commons, for example) will not need to be reserved, and we have identified these buildings in the building open/close listing. If there is a specific event, such as an orientation, a student meeting or any other need that must be in-person and requires a specific building resource on campus, please use Coursedog for space reservations. Those spaces that are identified as closed will not be available for reservation from Monday, June 30 - Friday, August 1, 2025. 

Library study rooms can be reserved through the Library website. Library stacks will be closed from July 21 - August 8th

Library staff will pull titles from the stacks during the move. All collections will be available to check out, but users will not be able to walk the stacks during that time.

How will I know if I can participate in this program? 

Even if your building remains open, you should discuss with your supervisor if your department and role will allow for participation in this program. Based on the level of in-person interaction that might be required to complete your job duties, you may be required to spend time in the office.
