AI Tools at SJU

  • What AI tools are approved for use at SJU?
  • Can I use the full Gemini app at gemini.google.com?
    • No. While Gemini is available within Google Workspace applications, the standalone Gemini app at gemini.google.com is not currently enabled for SJU. You should access Gemini only through approved Workspace apps like Docs, Forms, Slides and Vids.
    • A pilot program for Gemini Pro (gemini.google.com) is being developed and will begin in June 2026, with planning underway for a larger rollout upon successful completion. 
  • Can I use ChatGPT or Claude for university work?
    • Not at this time. Both OpenAI's ChatGPT and Anthropic's Claude are not approved for university business. Neither tool is currently under evaluation at SJU, and should not be used for any university-related tasks.
       
  • What should I do if I want to use an AI tool that isn't on the approved list?
    • If you are interested in using an AI feature in an existing tool or a new AI tool that has not yet been approved, request a technology adoption review.  The approved list is updated as new tools are evaluated and cleared.
       
  • Can I use a personal subscription? 
    • Free or personal subscriptions to AI tools often require an End User License Agreement (EULA) and Terms of Use (ToU) that do not adequately protect you or University data. Exercise Caution: If you are paying for an AI tool that has not been approved by the University for use, please review your settings.
  • Why does it matter which AI tools I use?
    • Unapproved tools may not meet standards for data privacy, security, or compliance. Using them for university business could put sensitive institutional or personal data at risk.

SJU has evaluated and approved AI features associated with tools that faculty and staff already use every day. The utilization of Protected Health Information (PHI) is strictly prohibited with all of these tools.
While ChatGPT and Claude are not approved for enterprise use at SJU, employees may still be accessing them through personal accounts. By default, these tools may use submitted data to improve performance, we encourage you to change settings to limit or opt out of data usage for training.
